AIIA ACT Branch Annual General Meeting
Thursday 18 August 2011, at 12.30pm, Stephen House, 32 Thesiger Court, Deakin ACT

Dear member,

The AIIA ACT Branch Annual General Meeting (AGM) will be held at 12.30pm sharp at Stephen House on Thursday 18 August.  We anticipate the AGM will conclude at approximately 1.00 pm, depending on whether there are any matters raised by members under General Business. All financial members are encouraged to attend.

A light lunch will be available for attendees from 12 noon.

Our guest speaker, Mr Amro Ali, a Middle East specialist, will speak at approx 1 pm on the subject The Arab Spring, Egypt, & Australia. The Intertwinement of Perceptions and Influences, members and guests are invited to attend this presentation

Report by the Out-Going Council.  The President and Treasurer, respectively, will report to you on the Branch’s general activities and audited financial accounts covering the preceding financial year.

The Election of the New Council will follow the above. Only financial members may vote at these elections. Besides electing others to Council, this is also your opportunity to seek election to the Council and contribute directly to the management of the Branch.  The Council meets for about 1¼ hours each month (currently the first Thursday of each month, from 5.45pm to approx 7 pm).
As part of the management team, every Council member contributes to the general administration of the Branch.  Specific functional roles are also assigned, through Councillors agreeing to take on coordinator tasks, or provide support to coordinators, especially in the following areas:

  • Treasurer: our current Treasurer cannot commit beyond the end of this year. We are seeking a replacement to take over this key appointment.  All financial systems are in place and assistance is provided by a professional bookkeeper and the Executive Officer.  The Treasurer’s monthly duties mostly involve a small amount of-banking and reporting to Council on monthly transactions.
  • Events are the showcase of the Branch.  We seek Councillors with ideas for events that attract and interest both existing and potential new members. We also seek those who can manage and administer these events.  Do you have these talents?
  • Membership roles include maintaining our existing membership, and identifying and recruiting new members. Do you have the planning, targeting and networking skills for this?
  • Youth, especially students, is a very important category of membershipwith its own challenges.  Imagination, and a flair for organising and networking, are some of the talents we seek here.
  • Publicity roles include close liaison with speakers and events managers, and the drafting and timely publication of our newsletter, flyers and other publicity material. Do you have these talents?
  • Our Website is a very important part of our public face. It requires continuous up-dating, and is an ideal task for someone with a flair, publicity, and appropriate computer skills.
  • The Secretariatrole includes those important functions of preparing and coordinating agendas, minutes and other material for Council meetings, other reporting and returns to National Office and the ACT government, and oversighting our records system generally. You would be assisted in this role by the Executive Officer
An effective Council thrives on talent and teamwork.  Please also remember we are always looking for support across all these areas from members with the talent we seek, but who may not be able to commit to full Council membership.  If you would like to stand for election, or wish to discuss any Council or other support role in further detail, please do not hesitate to contact myself or any other Council member.

I look forward to seeing you at the AGM.
